    Refund & Cancellation Policy

    1. Introduction: Our Role

    CourtSpot.org operates as an intermediary platform (an "Agent") connecting sports enthusiasts ("Users") with sports facilities ("Venues"). When you book a slot on CourtSpot, you are entering into a direct contract with the Venue. CourtSpot facilitates the transaction and booking management. Therefore, all modifications, cancellations, and refunds are subject to the approval of the respective Venue.

    2. Cancellations by the User

    We understand plans change. Users may request a cancellation for a booked slot subject to the following terms:

    • Request Window: Cancellation requests must be initiated through the "My Bookings" section of the platform.
    • Venue Approval: Since the inventory belongs to the Venue, the acceptance of a cancellation request rests solely with the Venue Manager. CourtSpot does not have the authority to force a cancellation without Venue consent.
    • Timeline: Requests must be raised within the permissible window, up to 24 hours before the scheduled slot time. Requests made after the slot time has passed are generally invalid.

    3. The "Convenience Fee" Policy (Non-Refundable)

    CourtSpot charges a nominal Convenience Fee for the service of aggregating venues, maintaining real-time inventory, and processing secure payments. This service is considered "consumed" the moment a booking is confirmed.

    Therefore, in the event of a cancellation (whether by User request or Venue unavailability):

    • The Convenience Fee is Non-Refundable.
    • Refunds will be calculated only on the base slot fee and applicable taxes on the slot.

    Example:

    If you paid ₹1,000 (₹950 Slot Fee + ₹50 Convenience Fee):

    • Refund Amount: ₹950
    • Amount Retained: ₹50

    4. Disputes & Venue Rejections

    If a Venue rejects your cancellation request, or if you are requesting a refund due to poor facility conditions (e.g., flooded turf, lights not working):

    • Direct Resolution: You may raise a "Dispute" via the app. The Venue will have the first opportunity to accept or reject this dispute.
    • Platform Escalation: If the Venue rejects a legitimate request, or if you believe the rejection is unfair, you may escalate the matter to CourtSpot Support.
    • Arbitration: CourtSpot will intervene as a neutral Arbitrator. We will review the evidence (photos of the venue, chat logs, etc.) and make a final decision. CourtSpot's decision in such escalated disputes shall be final and binding on both the User and the Venue.

    5. Refund Timeline & Methods

    Once a refund is approved (by the Venue or by CourtSpot Arbitration), the funds will be processed as follows:

    • Processing Time: Please allow 10 to 15 business days (approx. 2-3 weeks) for the amount to reflect in your original payment source. This timeline is due to inter-bank processing delays.
    • Method: Refunds are processed to the original source of payment (Credit Card/UPI/Debit Card).
    • CourtSpot Tokens (Optional): Users may opt to receive the refund instantly as "CourtSpot Tokens" (where applicable) for future bookings. [Note: Feature currently in beta].

    6. Liability Disclaimer

    CourtSpot is not liable for any damages, injuries, or losses incurred at the Venue. Our liability is strictly limited to the transaction value of the booking fee collected, excluding the convenience fee.
